This SOP outlines the method to prepare for an initial design consultation with a new client.

Scope

This SOP applies to anyone preparing for an initial design consultation with a new client.

Responsibilities

• Researching the client's property and preparing necessary materials for the consultation.

Procedure

1. Research the House/Apartment/Site:
   • Conduct a search of the property on Google.
   • Review purchase history, price, and any available images.
   • Make notes of initial ideas based on this information.
2. Download and Print the Floor Plan:
   • If a floor plan is available online, print it off to use during the consultation.
   • The floor plan will aid in taking measurements and give an overview of the property's layout.
3. Research the Clients:
   • Conduct a Google search of the client(s).
   • Find out their professions and any other relevant information. This helps to customise your approach to the consultation, including what to wear on the day (e.g. high end fashion wouldn’t be suitable for meeting with budget conscious clients etc.)
4. Check the Consultation Location:
   • Confirm the location and calculate the driving time a few days in advance.
   • Note the driving time in your diary and always add an extra 10 minutes to ensure punctuality.
   • Keep the client's contact number handy for any last minute communication needs while on the road.
5. Plan a Surprise and Delight:
   • Consider taking a small gift for the client, such as a candle or small decorative styling item. This thoughtful gesture can create a positive first impression.
6. Pack Your Toolkit:
   • Prepare your toolkit for the consultation.
   • It should include:
     • iPad with digital presentation/project images loaded
     • the printed floor plan
     • a dot grid notepad
     • pencils/pens/erasers
     • a notebook
     • business cards
     • a laser measurer
     • spare batteries for the laser measurer
     • a 10m tape measure
     • paint colour fans
     • optional "surprise and delight" gift for the client.
